T's & C's - 2020 Covid-related
This year we have had to make a few changes to how our site is normally run and to our usual services provided, in order to try to reduce the risk from coronavirus as much as possible. We ask for your understanding at this difficult time. In booking with us, you are agreeing to and accepting of the following:
- Our hot tub will not be open for use
- Our hammocks will be provided (to our usual pitches offering them) and sprayed with virucide inbetween guests but you are welcome to bring your own to hang on our posts instead if you prefer (provided you tie ours back up before you check-out)
- We are providing fire pits as normal - if you don't wish to use the grill plate for your BBQ, please bring your own.
- Some of our usual services will not be available (meal van onsite, hosted game nights, baby tubs, onsite provisions)
- Some of our usual services will be limited (charcoal and logs will be available but paypal/online payments taken only - no cash)
- There will be no hugs this year from us sorry - but we will say hi from a distance!
- Check-in directions will be provided via email prior to your stay, so that no contact is required
- Emergency contact details will be provided via email
- It will be required that you bring your own toilet roll, soap, washing up liquid, toiletries and alcohol gel provisions to reduce risk of contamination (we do provide toilet roll, hand-soap and washing up liquid you can use if you prefer/forget)
- Social distancing from other guests will be required on our site
- Hot water will be provided at the meadow wash up station
- To avoid needing to handle our guest's rubbish this year, there will only be one rubbish disposal area where you will be required to keep your rubbish separate throughout your stay and put in the correct bins at the end of your stay (your deposit will be refunded in full if you have done this correctly). I will provide a black bin liner for non-recyclable and food waste which needs to be kept by you and used throughout your stay until the end when it needs to be tied and placed in the correct wheelie bin, and I will provide a single rubber trug for your pitch for all else (loose recyclable cans, plastic, cardboard and glass bottles and jars) to be placed into and sorted daily into the correct wheelie bins for this - follow the instructions in your email please.
- Full refunds or alternative dates will be offered in the event of a Government lockdown (either of our site, or your home town). Aside from this, our normal cancellation policy will apply.
STANDARD BOOKING TERMS AND CONDITIONS
All Bell Tents, Camping pitches and Campervan pitches are available from 4pm on the day of arrival. On departure all Bell Tents and pitches are to be left in acceptable condition and vacated by 10am (unless we have agreed an extended check-out) to allow us time to do any maintenance on site and prepare it ready for the next set of guests!
When you make a booking confirmation, an email will be sent to you confirming the tent, dates, times and payment details of your holiday. Booking and payment is considered the establishment of a legal contract.
We do accept group bookings, however we are primarily a family site and only able to accommodate groups who want to enjoy our quiet rural location - If your group fits in with our values.
Payment & Security Deposit:
We request full payment on reservation of your accommodation, your booking and payment will then be confirmed by email. We also ask for a temporary £30 security deposit on top of the charge to ensure the facilities, bell tent/pitch are left in good condition, and you have separated your rubbish correctly (instructions in the pre-arrival email), the money will be refunded after departure when the tents/pitches/facilities and bins have been checked. Payments should be made via our website or we do cater other forms of payment (via internet banking) but only through special request after contacting us.
Cancellation & Refunds:
We realise sometimes plans change and as such we will always do our best to re-let a holiday. If we are able to do so we will refund the cost of the booking less a 15% admin charge as long as the cancellation is more than 30 days prior to the booking start date. All cancellations must be confirmed in writing. We recommend you take holiday cancellation insurance to cover any loss should we not be able to re-let. In the unlikely event of the bell tents/pitches not being available due to fire, flood or other unforeseen circumstances, Eco-escape cannot accept liability or responsibility for any loss, including consequential loss.
As a general rule,we do not accept bookings from anyone under the age of 18 without parental approval.
We will only charge for replacements in exceptional cases, as we expect a degree of wear and tear but security deposits will be used for careless damages to our facilities or tent structures (including rips and tears in canvas doors, soot marks and damage to the door zips) and if excessive cleaning is required due to smoking in the tents and/or excessive dirt etc. Security deposits are also retained if payment is not settled with the owner for any extras had during your stay or if you have not sorted your rubbish in accordance with the request.
A BBQ and fire pit or brazier are provided for your enjoyment. Please ensure you extinguish them after use to avoid fire hazards, DO NOT take them into the bell tents or your own tent. Parents should ensure children are supervised at all times to avoid accidents.
The farm is a wonderful place for children to play, but parents or guardians are responsible for them at all times. Children must not play unsupervised anywhere on the farm or in the farm's woods, lakes or stream. Eco-escape accepts no responsibility for injury incurred on site. Please be careful on the decking areas as they may be slippery after rainfall or shower use, plese note that this is a farm, not a perfectly manicured lawn and garden, therefore we cannot gurantee the odd deposit from wildlife and natural hazards such as stones, trip hazards, ditches, falling branches...etc., we ask that you respect the natural limitations of the site.
Please remember that the showers, toilets, and communal areas are shared, so we request you clean up after use and try to accommodate others’ usage. We will clean the showers and toilets daily. If glamping with us, please do not wear outdoor shoes inside our bell tents and please leave your tent tidy, but there is no need to clean out the wood burner/firepit.
Flames, hunting and Fireworks:
No firearms, hunting paraphernalia, fireworks or Chinese lanterns are permitted on the farm. No naked flames of any sort are not permitted inside the tents.
Each bell tent has a smoke, carbon monoxide detector. The BBQ's are very safe if properly used - instructions are in each tent and should be read before use. Fire's should not be lit by persons under the age of 18. In the unlikely event of a fire, all guests should vacate . Full evacuation details are provided in your welcome pack (basically vacate the tent to a safe uncovered distance). We take every care to ensure you have a safe and enjoyable holiday, but cannot be held liable for any accidents or consequential loss.
Please note that swimming, bathing or fishing are not permitted under our conditions, do so at your own risk, or wait until you are at a suitable swimming location such as the many lifeguarded beaches around the area.
Guests will be held responsible for any fire, damage or alteration to the structures we let guests use caused by negligence.
We don't allow any over amplified music or loud revelling as this would disturb our other guests and local residents. We really do enforce this and request that noise after 10pm is kept to a minimum. It’s really important to us that other guests have a peaceful break and are shown respect. Anyone committing a nuisance or disturbing the peace may be asked to leave immediately and without a refund.
No Fire Policy:
Fires are restricted strictly to the wood burning stoves and firepit provided.
No Smoking Policy:
All of our tents have a strictly No Smoking Policy. Anyone who smokes outdoors is responsible for disposing of their cigarette butts safely in the bin liner provided and must not litter the surrounding area. PLEASE NOTE: Canvas tents and bed clothes absorb the smell of the smoke, therefore security deposits WILL be used for extra cleaning of our bell tents if smoking deposits and smells are found in the tents.
We do allow well behaved dogs at Eco-escape but do remember this is a farm and livestock may be in adjacent fields so any dog chasing or harming farm animals will not be tolerated. You will be held accountable to any costs to the farmer. We also do not allow pets to disturb other campers so please ensure they are well-behaved and under control at all times. Please pick up any dog waste using the poo bags provided, and place inside your landfill bin liner.
We are passionate about recycling and would ask that you to comply by using our recycling facilities and bins appropriately.
Eco-escape cannot be held responsible for any lost or stolen property.
Your tent is within a gated field but we do ask you lock your valuables in you car when leaving the site. We cannot be held responsible for stolen and lost property.
We only allow parking next to the tents on our campervan pitches. Car parking is provided a short distance away from your pitch in a separate field. Please use the wheelbarrows provided to unload and repack up your belongings at the beginning and end of your stay.
Bell Tent Structure:
It is prohibited to interfere or adapt the structure of the tent in any way.
There is an abundance of wildlife on the farm. Enjoy it but be careful. Put your food in the landfill bin liner and keep it away from animals during your stay otherwise mice or birds could try and eat it. Don’t leave rubbish outside of the tents and on the ground as foxes/birds could scatter it.
